What Happens at Your Bar After the Last Drink
You and your guests probably never see the breakdown. By the time the bar starts coming apart, everyone has headed out or moved to the dance floor. But for your Boomtown crew, the 30 to 60 minutes after last call are just as careful as the setup, and they are part of what you are paying us for.
Here is what we do once the last drink is poured.
How We Handle Last Call
We do not announce a last call to your crowd. A loud "last call" tends to start a rush, and guests order one more they did not actually need. Instead, about 30 minutes before service ends we quietly begin winding the bar down and steering guests toward water.
We coordinate the timing with your DJ or emcee and with you, then simply stop serving at the agreed time. No countdown and no scramble, just a calm, safe close to your night.
Phase 1: Soft Close (last 30 minutes of service)
- We stop displaying spirits on the station and start packing the bottles we no longer need.
- We shrink the bar's footprint, clearing backup supplies and emptying coolers we are done with.
- We begin washing or binning used glassware.
- We clear the garnish trays and dump leftover cut fruit.
- Your bartender keeps serving from a smaller setup, so your guests never notice the gradual wind-down.
Phase 2: Full Breakdown (after final service)
- Every remaining bottle is packed and crated.
- Ice is dumped in the right drainage area, never on your venue's floors or landscaping without permission.
- Our ice chests are emptied, dried, and stacked.
- The service area is wiped down, and our toolkit is cleaned and packed. If a bar structure was rented through Pipe It Up, it is broken down with their gear.
- Used glassware is washed, dried, and packed, or disposables are bagged for trash.
- All waste is collected, with bottles, cans, trash, and recycling separated the way your venue requires.
- The floor beneath and around the bar is swept and wiped, and any spills are cleaned.
Phase 3: Load-Out
- Everything goes back on the truck in reverse order, heaviest first and fragile last.
- The crew leader does a final walkthrough of the bar area and any venue spaces we used, like a storage room, kitchen, or loading dock.
- We confirm with your venue coordinator that the space is clean and cleared to their standards.
- We check in with you or your planner before we leave, if you are still on site.
Your Leftover Alcohol
With Boomtown, you buy the alcohol yourself, so every unopened bottle is yours to keep or return. As a dry-hire bar service we never sell, buy, or mark up the alcohol; we build the shopping list and you purchase it yourself. We organize it all at the end of the night, with opened bottles in one group and unopened in another, so returns are easy.
How Long It Takes
- Smaller parties (under 75 guests): 20 to 30 minutes from last call to load-out complete.
- Mid-size parties (75 to 150 guests): 30 to 45 minutes.
- Larger parties (150+ guests): 45 to 60 minutes.
These times assume we are not waiting for guests to clear the bar area. If your event runs long or people linger at the bar, breakdown stretches a little, and that is fine.
Why a Professional Cleanup Protects You
Plenty of venues charge cleaning fees when a vendor leaves a mess, and some charge by the hour when load-out runs late. A professional breakdown keeps those charges off your final bill and leaves your venue with a great impression of your event, which matters if you ever want to book there again.
Cleanup is included in every Boomtown event. We do not leave until the space is cleaner than we found it. That is the standard you can count on.
A Clean Close, Every Time
"About 30 minutes before bar close, we consolidate the beverages back into the client's coolers or boxes and clean up any remaining trash," explains Bar-Key founder Patrick Wilson. "Then we collect our tools, say goodbye to the hosts, and make sure they have everything they need before we leave."
The cleanup is your last impression of the night, and we treat it that way. A tidy, organized close tells you we respected your venue, your event, and your time.
Ready when you are.
Tell us about your event and we will take it from there.
